1. Information We Collect

When you use QuickTrax, we collect:

  • Account information: Email address and encrypted password when you sign up.
  • Receipt data: Photos you upload and the text extracted from them (vendor, amount, date, category).
  • Financial records: Expense entries, project/vehicle details, and budget information you input.
  • Payment information: Processed securely by Stripe. We never store your credit card numbers.
  • Usage data: Basic analytics like pages visited and features used.

2. How We Use Your Information

  • To provide and improve the QuickTrax service
  • To process receipt images using AI (optical character recognition)
  • To manage your account and subscriptions
  • To send transactional emails (confirmations, password resets)
  • To respond to support requests

3. How We Protect Your Data

  • All data is encrypted in transit (TLS 1.3) and at rest (AES-256)
  • Passwords are hashed using bcrypt — we cannot read your password
  • Each account is isolated — your data is never visible to other users
  • Payment processing is handled entirely by Stripe (PCI DSS compliant)
  • We enforce HTTPS on all connections

4. Data Sharing

We do not sell your personal data. Ever.

We share data only with:

  • Stripe — for payment processing
  • Supabase — for database hosting and authentication
  • AI providers — receipt images are sent to AI models for text extraction. Images are not stored by these providers.
  • Resend — for transactional email delivery

5. Data Retention

Your data is retained as long as your account is active. If you delete your account, we will delete your data within 30 days. Receipt images stored in our system will also be removed.

6. Your Rights

You have the right to:

  • Access your data at any time through the app
  • Export your data (CSV export feature)
  • Delete your account and all associated data
  • Opt out of non-essential communications

7. Cookies & Analytics

We use essential cookies for authentication and session management. We also use Google Analytics (via Google Tag Manager) to collect anonymized usage data such as pages visited, time spent on site, device type, and general geographic location. This data helps us improve QuickTrax and understand how features are used.

Google Analytics may set cookies on your device. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on. We do not use advertising cookies or sell your data to third parties.

8. Children's Privacy

QuickTrax is not intended for children under 13. We do not knowingly collect data from children under 13. The scholarship tracking feature is intended for use by parents/guardians managing educational expenses.

9. Changes to This Policy

We may update this policy from time to time. We will notify you of significant changes via email or in-app notification.
